 Provider FAQ
The pandemic has created a lot of unique challenges for child care providers, who have been forced to adapt quickly. CCRC’s dedicated team of professionals is here to help. Here are some answers to commonly asked questions:
1. When should I submit my attendance documents?
a. Attendance sheets: Cannot be submitted until after the care month has ended.
i. Ex. Jan. 2021 attendance sheets can be submitted as early as Feb. 1, 2021.
b. PPR’s: Can be submitted after the authorization period ends.
i. Ex. Authorization period ends 1/19/2021, Jan. 2021 PPR can be submitted as early as Jan. 20, 2021.
2. How do I record a child care absence?
a. Reasons can include: i. Child ill
ii. Parents day off
iii. Family/Child vacation day
iv. Family emergency
v. Family emergency – COVID 19 vi. Sheltering in place – COVID 19
b. Attendance sheets: Please indicate the reason for absence on the corresponding line on the attendance sheet.
c. PPR’s: Please indicate on the top left corner the reason for absence.
3. How do I record a provider closure on the attendance sheet or PPR?
a. Reasons can include:
i. Provider closed
ii. Provider closed due to COVID 19
1. Please report COVID 19 closures to your local Provider Liaison team
b. Attendance sheets: Please indicate the provider closure on the corresponding line on the attendance sheet.
c. PPR’s: Please indicate the provider closure on the top left corner and date(s) of closure.
4. For what programs are COVID-19 provider closures reimbursable?
a. Stage 1, Stage 2, Stage 3, and Alternative Payment: Providers may be eligible for COVID-19 related
closures from Sept. 2020 – June 2021. Please reach out to your local Provider Liaison team for more information. See #2 above for reporting on the attendance documents.
b. FCCHEN: If a local or state public health order is obtained, then closure is reimbursable. Please reach out to your local Resource and Referral for more information.
c. LA Bridge and SB Bridge are not eligible for reimbursement for COVID related closures.
5. What should I do if I cannot obtain the parent’s signature?
a. For children enrolled in Stage 2, Stage 3, FCCHEN, and Alternative Payment: the provider must indicate on the attendance sheet their attempts to contact the parent and that the parent was not available for signature due to COVID-19.
b. For children enrolled into Stage 1, LA Bridge, and SB Bridge: the provider must indicate that parent was not available for signature due to COVID-19.
c. If the parent is unavailable to sign and it is not COVID-19 related, please make a note stating why the parent is not available to sign the attendance document.
d. Please note that provider signature is always required under penalty of perjury.
6. School-age children are participating in distance learning at the child care site. Do I have to document anything on the attendance documents to reflect this?
a. During COVID-19, additional documentation is not needed. Please claim all the days and hours of child care on the attendance documents.
